What Information We Collect

When you enrol as a client, you will complete an intake form that gathers the minimum amount of personal and health information needed to provide coaching. This may include your name, contact details, and health related information relevant to your coaching journey, such as goals, relevant history, and progress notes.

We collect this information directly from you. We do not collect information about you from third parties unless we have your explicit permission to do so at the time.

Coaching Notes and Client Portal

Throughout your coaching, we keep notes on your progress, accountability, and goals. These notes are available for you to access at any stage through your client portal.

Recordings, Testimonials, and Promotional Use

We do not record 1:1 or group coaching sessions, or use your story, journey, or any session content for promotional purposes, without your explicit permission at the time.

Where you give permission for a testimonial, session recording, or client story to be used for promotional purposes, this is treated separately from your coaching records. We will only use it for as long as your consent remains current, and you can withdraw consent and ask us to remove it at any time by contacting us.

How We Use Your Information

We use your information to deliver coaching services, send newsletters and program communications, respond to enquiries, and improve our offerings. We do not sell your personal information to third parties.

How We Store and Protect Your Information

Your information is stored securely using the following tools:

Ivorey (course content, health information, email marketing, and booking)

Google Drive and Forms (customer intake and coaching notes)

Stripe (payment processing)

Some of these providers store data on servers located outside New Zealand, including in the United States. Where this occurs, we take reasonable steps to ensure your information continues to receive a comparable standard of protection, as required under the Health Information Privacy Code 2020.

Access to your health information is limited to Emma Piggot.

How Long We Keep Your Information

We retain coaching notes and health information for at least seven years following your last contact with us, in line with recognised health coaching record-keeping practice. After this period, information is securely deleted.

Testimonials, recordings, and other content used for promotional purposes are treated differently. These are only used for as long as your consent remains current and are removed if you withdraw consent, even if this is sooner than seven years.

Your Rights

Under the New Zealand Privacy Act 2020 and the Health Information Privacy Code 2020, you have the right to:

Access the personal and health information we hold about you

Ask us to correct that information if it is wrong

Ask us to delete your information, subject to any legal or professional obligations we have to retain it

If Something Goes Wrong

If we become aware of a privacy breach that is likely to cause you serious harm, we will notify you and the Office of the Privacy Commissioner as required under the Privacy Act 2020.

You can also make a complaint directly to us, or to the Office of the Privacy Commissioner at privacy.org.nz, at any time.
